Procurement Coordinator

Job Description

The Procurement Coordinator is accountable for providing overall support to the administration of centralized procurement services, subaward payment management and the related administrative support for Supply Chain Management (SCM). This will span all requisitions to be ordered and paid from Jhpiego HQ in the US, working closely with Johns Hopkins University (JHU) Procurement and Jhpiego requestors.


This position will work in close collaboration with other members of the SCM team to serve our internal customers (requestors) to procure the goods and services needed achieve their programmatic and departmental goals.In addition, this position will liaise with internal departments (Finance, Contracts Management Compliance Division [CMCD], Facilities Management) and the University to execute and manage procurements from the receipt of the requisition to vendor payment.



Specific Duties & Responsibilities:

JHU Systems

  • Collaborate with the SCM Team to invite and/or confirm that all new vendors/ subrecipients have been set up in the requisite University Vendor Registration and Management System (SAP via Payment Works).
  • Initiate the placement of new purchase orders, payment requests in SAP as assigned.
  • Track orders and engagements through the full procurement lifecycle, including the confirmation of vendor/subrecipient payments.
  • Engage with the University’s Shared Services Group to address and resolve delays, requested changes etc. with orders and payments in SAP.


Internal Customer Service & Coordination

  • Receive, review and confirm all requisitions/ requests for goods and services initiated from, and to be procured through, Jhpiego HQ as assigned.
  • Collaborate with SCM, CMCD and the requestor as assigned to identify, communicate and execute the process relevant to the specifics of the requisition as it relates to developing (as applicable) any contractual elements (Master Services Agreement [MSA] and Task Orders, Technical Service Agreement [TSC] etc.).
  • Consultant processes, registry and forms for approval with JHU.
  • Conduct due diligence and follow-up to ensure the timely delivery of goods and services within the established timelines.


Communication/ Reporting

  • Use central SCM Ticketing System (JIRA) to log assignments, progress and updates on individual procurements and assigned tasks.
  • Maintain a Summary Report, monitoring and providing updates on all active procurements with live estimated timelines.
  • Ensure accessibility and visibility to the status of all active procurements to customers.
  • Collaborate with the SCM and CMCD teams to catalog and maintain a listing of all MSAs including relevant information (including summary, vendor, doc#, owner and start/end dates etc.).
  • Partner with the requestor in monitoring against plan relevant to contractual documents (MSA/TSC etc). Maintains central reporting/record.


Departmental Collaboration & Teamwork

  • Support the SCM team with time sensitive deliverables and special projects as needed.
  • Identify and recommend opportunities for improvement of tools, forms, tracking, reporting, etc. for SCM.
  • Collaborate with the SCM team to identify areas for improvement with systems and processes.
  • Contribute to the implementation of solutions to increase departmental efficiencies and better serve our internal customers.
  • Other duties as assigned.

Minimum Qualifications
  • High school diploma or graduation equivalent.
  • Five years of progressively responsible purchasing experience.
  • Additional education may substitute for required experience andadditional related experience may substitute for required educationbeyond a high school diploma/graduation equivalent, to the extentpermitted by the JHU equivalency formula.


Preferred Qualifications
  • Experience working in an international, multicultural environment, preferably in a professional office setting performing similar duties.
  • Experience working in fast-paced, dynamic environment.

Total Rewards
The referenced base salary range represents the low and high end of Johns Hopkins University’s salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Exact salary will ultimately depend on multiple factors, which may include the successful candidate's geographic location, skills, work experience, market conditions, education/training and other qualifications. Education and Experience Equivalency
Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
